The Drivetrain (Lofty Pipeline Setup)
The 8-stage pipeline I build inside Lofty for agents and teams. Clear stages, the right Smart Plan on each one, and automatic moves so no lead sits in your CRM collecting dust.
Most Lofty accounts I open have the default pipeline plus a few stages somebody added and never used. Leads land in New Lead and just sit there. In this video I walk through the exact pipeline I set up for my own business and for my clients: what each stage means, how long a lead should be there, and how Smart Plans move people from left to right without you dragging cards around all day.
Every new lead lands here. Lofty locks this stage, so the work happens in the Smart Plan that fires the moment they come in. Call them right away.
You called and they didn't pick up. They stay here on a buyer or seller plan until you get them on the phone and find out their timeline.
A real person on a long timeline. Light, steady touches so you're the agent they remember when they're ready.
Getting closer. More check-ins, market updates that fit what they're looking for, and a reason to keep talking.
Ready to move. Tasks for you, fast follow-up, and an alert if they go quiet so nobody slips through.
They signed a buyer broker or listing agreement. Lofty calls this Showing. I rename it, because a signed client and a signed house aren't the same thing.
Now there's a contract on a house. Keep your client in the loop all the way to the closing table.
Not the end. A 30-day touch plan reminds you to call, text or grab coffee, so past clients keep sending referrals.
Leads move left to right. If someone goes quiet, they move back a stage instead of getting deleted. Leads you could never reach go to Long-Term Nurture with years of touches already lined up.
Separate buyer and seller plans for each stage, triggered by pipeline change. Buyers and sellers move on different timelines, so they get different messages.
If a Hot lead goes quiet and nobody acts, the system moves them back to Warm, then Cold, then Long-Term Nurture. Nothing sits.
Leads you could never reach get years of touches instead of getting deleted. Some of them come back ready to buy.
Anyone who hasn't been touched in 4 months gets a friendly "what's new?" check-in, automatically.
Great for recruiting brokerages, or for a list of local agents your title company can pull for you.
Dead stages removed, stuck leads sorted into the right bucket, and plans tied to your Automation Engine if you have one.
Most accounts come with stages like New Lead, Attempted Contact, Cold, Nurture, Warm, Hot and Showing. They're a fine starting point, but they don't tell you how long a lead should be there or what should happen next. That's what the 8-stage setup fixes.
No. Lofty locks New Lead, so you can't rename or move it. Put your first buyer and seller Smart Plans on it instead so every new lead gets touched the minute they come in.
Open your pipeline in the CRM and click the small gear icon. Drag the bars to reorder stages, click a name to rename it, or use the trash icon to remove it.
Set the Smart Plan trigger to Pipeline Change and pick the stage. When a lead moves into that stage, the plan starts on its own. Give each stage its own buyer plan and seller plan.
As many as actually serve a purpose. If leads are sitting in a pipeline and nothing is happening to them, that pipeline either needs a job or needs to go. An agent pipeline is one extra that's worth having for a lot of people.

Pipeline setup isn't sold by itself. It comes with every Lofty Buildout, and it's part of the Tune-Up when we fix an account that's already running.
